There will be a Special School Board meeting on April 20, 2011 at 4:00 p.m.
in the school lunch area.
The public is welcome to attend and participate.

REGULAR SCHOOL BOARD MEETING

Date: April 20, 2011
Time: 4:00 P.M.
Place: In the School Lunch Area - 12340 W. Maryland Ave. Litchfield Park, AZ

The regular Board Meeting was called to order on April 20, 2010 at 4:oo p.m. at Crown School in the lunch area.

Present:
Mr. Shade – President,
Diane Vasquez – VP/Treasurer,
Mr. Friday – Member

Roll was called: A quorum was present.

Mr. Shade welcomed everyone to the meeting. The public was invited to speak and to fill out a card of the topic they wished to address. TC requested to speak on the Beach Day.

Old Business: The January 19th meeting minutes were presented to the Board and Mr. Myers moved to adopt the minutes. It was seconded by Mr. Friday.

New Business:
1. AIMS TESTING REPORT was given by Mr. Myers who reported that all teachers were instructed as to how to give the aims test and parents stood by to help with the student’s nutrition. Mr. Myers stated that he felt the students were well prepared and went well and the tests are ready to be boxed up.
2. Wacky Tacky Beach Day preparations / fund release for food and equipment Ms. TC requested to speak on funds for the Beach day. She stated that she believed there would be about 1,500 people there to eat. She was unable to give a good estimate of the food necessary and she suggested that it be charged to the school. The Board members discussed the family cook out day and agreed that it would be great to charge the food to the school and proceed with getting the equipment for the water slides and etc. This was a consent item.
3. Mr. Shade informed the Board that, awe had our usual place for the Kindergarten graduation celebration at the Renaissance Hotel . He said we were expecting around 1800 people and estimated that the cost might be around $10,000 but the advertising benefits make it worth while as well as the fact that the parents then help spread the word of our school. Mr. Friday moved that the Board approve the funding for the ceremony and it was seconded by Mr. Myers. And passed unanimously.
4. Year End celebrations for kids. Trophies and awards need to be ordered as well as a reward celebration for our transitional teachers who are returning to the school to teach. All agree to move forward and keep the board informed but this did not need a motion.
5. Quarterly Financial Report Mr. Shade presented the quarterly report to the members for review. Mr. Shade moved that we accept the report as stated. Mr. Myers seconded the motion and it passed unanimously.
6. TC presented the Board with several bids for upgrading the computer lab by buying 52 new computers. The lowest bid for the computers was $1200 each but it did not include monitors. The total bid for the hardware including delivery would be $62,400 and that company would give the school credit and allow equal semi monthly payments of $2500 until paid in full. There was much discussion about the complexity of setting up the computers where the software programs would easily be accessed by teachers and serve 75 computers simultaneously and the large number of software programs to be installed. They also discussed the wiring that needed to be re-connected, tied and affixed so wiring would be out of the reach of the children. They discussed the cost of an outside programming and installer and agreed that it would be difficult for anyone to give an absolute bid on the job. It was agreed to postpone the purchase until fall.
Mr. Shade moved that the purchase the computers with the lowest bid so we could have the payments of $2500 semi monthly until paid in full and that we locate and hire an outside programmer on an ongoing basis until the task is completed at a cost of $2000 per month. In as much this school year is ending, the purchase and upgrading of the computer lab should not take place until August of this next school year. The motion was seconded by Mr. Myers.
